If a workbook uses =COPILOT to label expense text, customer comments, or support tickets, do not wait for a broken recalculation to discover which reports depend on it. Microsoft says the COPILOT function will no longer be available starting September 14, 2026.
The most reliable replacement is not another AI formula. Save today’s results as values, move new AI-assisted classification to the Copilot pane, and require an approved category and review status before data feeds a report.
Quick Fix: protect your current COPILOT results
- Make a backup copy of the workbook.
- Select every column containing
=COPILOTresults. - Copy the cells, then choose Home > Paste > Values to replace formulas with their displayed labels.
- Add an Approved Category column with Data Validation and a Review Status column.
- Change reports to use Approved Category and include only rows where Review Status is Approved.
- For new records, use Copilot in the Excel pane to propose labels in a separate suggestion column, then review and approve them.
Microsoft advises converting COPILOT results to values when you need to preserve them. The function is intended for tasks where variation is acceptable, not calculations that need a fixed, repeatable answer. See the Microsoft COPILOT function guidance for the retirement notice and limitations.
Why an AI formula is a weak reporting field
A live AI-generated label is not the same as a controlled business field. Labels such as Travel, Travel expense, and Employee travel may describe the same item while splitting a PivotTable into separate groups.
Use two separate fields:
- AI suggestion: a fast starting point.
- Approved category: a controlled value that drives reporting.
This follows the same practical division in our guide to choosing Copilot or formulas for an Excel task: use AI for judgment and drafting, then use standard Excel fields and formulas for repeatable logic.
Build an auditable classification table
Convert the source range to an Excel Table with Ctrl+T. In this example, name it Tickets. Tables make formulas fill down automatically and keep reporting ranges current.
| Ticket ID | Comment | AI Output (saved) | Approved Category | Review Status | Reviewer |
|---|---|---|---|---|---|
| T-1042 | Card charged twice for hotel | Travel issue | Travel | Approved | JM |
| T-1043 | Please cancel the annual plan | Subscription cancellation | Subscriptions | Approved | JM |
| T-1044 | Cannot reset my password | Account access | Access | Needs review |
1. Preserve the existing output
Rename the former formula column AI Output (saved). After Paste Values, it becomes a record of what the formula displayed at migration time.
Do not overwrite it with the reviewer’s decision. Separate suggestion and final-category columns let you compare what AI proposed with what the business approved.
2. Create a controlled category list
On a sheet named Lists, enter approved categories in A2:A6:
Travel
Subscriptions
Access
Billing
Other
Excel Data Validation list sources generally cannot use a direct reference to another worksheet. Create a named range first:
- Select
Lists!A2:A6. - Click the Name Box to the left of the formula bar.
- Type
CategoryList, then press Enter. - Select the Approved Category cells in the
Ticketstable. - Choose Data > Data Validation and set Allow to List.
- Enter this in Source:
=CategoryList
Every final category now uses identical spelling. Document the allowed values and review expectations before users begin entering data; this guide to workbook rules for Copilot-assisted work can help.
3. Add a reviewer-status field
On Lists, enter these statuses in C2:C5:
Needs review
Approved
Rejected
Escalated
Select Lists!C2:C5, create a second named range called ReviewStatusList, then apply Data Validation to the table’s Review Status column with this Source:
=ReviewStatusList
Use Needs review for imported or newly suggested records. Only Approved records should enter final reporting.
Use Copilot for new classifications without rebuilding the formula

Copilot in Excel availability and features can vary by Excel version, platform, license, and your organization’s settings. Check that Copilot is available in your Excel app and review Microsoft’s current Copilot in Excel FAQ before designing a team process around it.
When it is available, open Copilot and ask it to classify text using your allowed categories. Copilot in the Excel pane can help plan, edit, and review workbook data. Ask it to write only to a separate suggestion column, never to the final-control fields.
Review the Comment column in the Tickets table. Suggest one of these categories only: Travel, Subscriptions, Access, Billing, or Other. Put suggestions in a new column named Suggested Category. Do not change Approved Category, Review Status, or Reviewer.
Inspect the suggestions, choose the final Approved Category from the list, and set Review Status to Approved. Copilot can help edit and review workbook data, but Microsoft warns that AI-generated results can be inaccurate. Treat labels as proposals, not unattended decisions.
Make downstream reporting deterministic
Reports must test both the final category and approval status. For example, to count approved Travel tickets, enter this outside the table:
=COUNTIFS(Tickets[Approved Category],"Travel",Tickets[Review Status],"Approved")
The result counts only reviewer-approved Travel records. A saved AI label such as Travel issue does not affect the total.
To return a report-ready category for each row, add a Report Category column to the table:
=IF([@[Review Status]]="Approved",[@[Approved Category]],"Pending review")
Build PivotTables and charts from Report Category, or filter the source to Review Status = Approved before publishing. Do not build reporting from AI Output (saved) or Suggested Category.
Optional: flag differences between AI and the reviewer
If saved AI outputs exactly match the approved list, add this check column:
=IF([@[AI Output (saved)]]=[@[Approved Category]],"Match","Check")
Use this as a review aid only. Longer AI phrases such as Travel issue should return Check; do not force fuzzy text into reporting formulas.
A migration sequence for existing workbooks
- Inventory dependencies. Search formulas for
COPILOT, then trace formulas that reference the output column. Also check named ranges, PivotTables, charts, conditional formatting, Power Query queries, and dashboard cells. - Freeze the current result. Copy and paste values into a clearly named saved-output column.
- Define the final list. Keep categories short and maintain them on the Lists sheet through named ranges.
- Review historical rows. Start with high-value, recent, or report-visible records.
- Redirect reports. Replace AI-output references with Approved Category and an
Approvedstatus condition or filter. - Test a sample. Compare old and new report totals, investigate differences, then publish.
Use a test copy before accepting Copilot-created workbook changes. Our process for testing Copilot-created Excel formulas is useful for that review step.
Troubleshooting common migration problems
| Issue | Likely cause | Solution |
|---|---|---|
| Data Validation source is rejected | The Source box contains a direct reference to another worksheet. | Create a named range such as CategoryList, then use =CategoryList as the Source. |
| Paste Values changed nothing | The formula column was not selected, or a normal paste was used. | Copy the formula results, choose Paste Values, and confirm the selected cell no longer begins with =. |
| PivotTable has near-duplicate groups | The report uses AI Output or Suggested Category. | Use Report Category, or filter Review Status to Approved and use Approved Category. |
| Pending records appear in totals | The report does not test Review Status. | Use COUNTIFS, a PivotTable filter, or Report Category to exclude unapproved rows. |
| AI changes an approved field | The request or selected range included final-control columns. | Keep Suggested Category separate and instruct Copilot not to edit Approved Category, Review Status, or Reviewer. |
Migration checklist
- Back up the workbook before editing.
- Find direct and indirect COPILOT dependencies, including reports and queries.
- Convert required
=COPILOTresults to values before September 14, 2026. - Keep saved AI output as evidence, not as a reporting field.
- Use named-range Data Validation lists for Approved Category and Review Status.
- Include only Approved rows in reporting.
- Test totals and exceptions in a copy before publishing.
FAQ
Can I keep old COPILOT results after the function retires?
Yes. Convert displayed results to values before the function is unavailable. The values remain ordinary worksheet text.
Should I replace COPILOT with another formula?
Usually no. Use AI for suggestions, then use controlled categories and reviewer approval for reporting.
Can Copilot in the pane classify rows automatically?
It can help review and edit workbook data where available, but its output needs review. Keep suggestions separate from final fields.
